Barcode Tracking
We track your medical documents at every point of their journey so you know exactly where everything is and where it’s been at all times. This helps ensure you’re compliant with Data Protection Regulations and means you’re not left looking for documents you thought were on site but have actually been sent for storage.
Online Client Portal
If you need access to a medical document in a hurry, our Client Portal allows you to request same day or next day delivery as well as 24/7 access to an online record of your entire inventory. Our online portal makes it quick and easy to find out where a particular document is and request for it to be retrieved. Alternatively, our Scan on Demand service puts your documents at your fingertips in no time at all. Plus, you can customise what permissions are given to what members of staff to restrict who can view certain types of documents or order medical documents for delivery.
Scan on Demand Service
If you require a file but do not need the hard copy, our digital retrieval service, Scan on Demand, is perfect. Once we
receive your request, we’ll retrieve the hard copy file for you, scan it and upload it to our secure Client Portal, which allows you to view, download or print your file in a matter of time. This enables round-the-clock access to your electronic document without having to wait for the physical copy, this is also beneficial if you are working remotely as you can access the Online Client Portal anywhere, anytime.
Medical Document Indexing
We work with small medical practices and health and social care providers as well as NHS hospitals across East Anglia. However big or small the organisation, a document management system is invaluable, so we offer an efficient medical document indexing service. We collect, index, barcode and store your documents, so you know where every patient's and client's notes, documents, scans, certificates and more are at all times. We’ll look at your organisation and the way in which it accesses the documents you're storing to create a bespoke document referencing system to suit you.
Retrieval and Collection
We offer a fast and flexible retrieval and collection service to make sure you’ve got access to the documents you need to provide your patients and clients with the best level of care. Located on the outskirts of Norwich, we’re ideally based for medical practices, hospitals and health and social care providers across East Anglia and offer both next day and same day deliveries and collections. As well as hand delivering your medical documents, our Scan on Demand service means we can also send over a scanned copy of a requested document.
Secure Document Destruction for Peace of Mind
At Archive-Vault, we understand the importance of securely disposing documents. We’re committed to the highest level of secure document storage, protecting clients’ records through the entire information lifecycle, which includes secure destruction. Our document destruction service ensures that your confidential information is securely destroyed once it is no longer needed.
By recording the expiration date on your items on our system, we will proactively notify you when boxes or files are nearing the end of their retention period. This means you’re not paying to store sensitive documents past their retention period whilst helping your business to comply with the GDPR rules as well as your responsibilities under The Data Protection Act.
We take the responsibility of confidential waste destruction seriously. All material is destroyed in accordance with EN15713 (European Standard for Information Destruction) and sent for recycling. We’ll also issue you a Certificate of Destruction for your records, guaranteeing peace of mind your documents are permanently destroyed.
