Enabling staff to work remotely is a great way to offer increased flexibility in a way that works for your business. Compliance with GDPR is an important consideration and Archive-Vault has a number of services to help with hybrid working.


Data compliance

There is a lot to consider when working from home to ensure you stay data compliant - whether it’s moving documentation between the office and home, considering who may have access to files, or maintaining client confidentiality. If possible, you should have a dedicated lockable home office, but we understand that this may not be an option for most people. For peace of mind that all data is safe, keep your physical documentation offsite at a secure storage facility such as ours. Make use of our Client Portal, Scan on Demand service, Printing Services, or Bulk Document Scanning to manage documentation in store.


Data compliance and security is at the forefront of everything we do, so you can set up destruction dates for every document in storage to ensure nothing is kept for longer than it should be. We’ll notify you when a box is nearing the end of its retention period and await your instruction to destroy, deliver to you to review, or extend the retention date. 


Store to Door

When it comes to deliveries, we know there is a lot to think about and there can be logistical complications to consider if you have people working from home. 


Our Store to Door service means we are able to carry out secure deliveries and collections to home addresses, removing the need to have employees coming into the office just for documents. Depending on company policy. 


To get this remote service set up we need confirmation from the account manager and a list of the authorised home addresses. Once we have got the go-ahead the rest is exactly the same - make the request for a collection or delivery of documents in the usual way and we come to you. 


Contactless Deliveries and Collections

We work hard behind the scenes to ensure everything runs smoothly for our customers, and that includes making our contactless delivery system the best available. Once we receive your request, we locate the items, prepare for dispatch, and deliver on a date and time to suit you. 


Office Moves

After seeing how successful working from home can be during the pandemic and the flexibility it gave employees, many businesses are now considering downsizing their offices or permanently changing their way of working. If you would like to put a large amount of documentation into store but are worried about the practicality or time implications of doing it all yourself, we can help. 


We will deliver our flat-pack boxes to your premises, once you have filled the boxes for off-site storage, send us an email and we’ll organise the collection at a time suitable for you. 


Better still, we can do it all for you with our boxing up service. We come to your premises at the designated time, box up the requested items, index at a file or box level, and bring everything into store in our vans. Suitable for both documentation and bulky items.


If you don’t have anything to send off-site but need boxes for an office move, we offer a crate hire service. Available to rent on a weekly basis, they keep contents protected and organised during the move.
