Our client is a busy medical practice based in a rapidly expanding town on the urban-rural fringe. As new housing developments have transformed the surrounding area, the local population has grown significantly, bringing increased demand for healthcare services and putting greater pressure on the practice’s resources and facilities.

The GP surgery approached Archive-Vault to provide secure offsite document storage for its patient records archive, consisting primarily of Lloyd George patient files alongside a number of A4 document folders.

The challenge

For many years, patient records had been stored alphabetically on-site, allowing staff to quickly locate and retrieve files when needed. However, as the practice grew and the number of patient records increased, the archive had gradually outgrown the available storage space.

What had once been an organised filing room was becoming increasingly difficult to manage. Files were overflowing from designated storage areas, with boxes beginning to encroach on administrative workspaces. Patient records found temporary homes under desks, in corridors, and around the office, creating clutter and making it harder for staff to work efficiently.

The growing volume of files also made it more challenging to maintain an accurate filing system. Returning records to the correct location after use became a time-consuming task, and files often accumulated on desks while staff prioritised more urgent responsibilities. As the organisation declined, frustration among the practice increased.

At the same time, the medical practice needed additional office space to accommodate new members of staff and continue meeting the needs of its expanding patient population.

The solution

Archive-Vault provided a secure offsite records management solution that addressed both the storage and organisational challenges facing the practice.

Our team attended the site and carefully boxed up the medical records over a couple of days. By working alongside the practice’s administrative team, we ensured that there was no disruption to the daily operations, allowing staff to continue supporting patients while the archive was being collected and transferred.

Each file was then meticulously indexed into our records management system with the requested reference fields which included first name, surname, date of birth and NHS number. Each note was then uniquely barcoded, ensuring complete traceability throughout its lifecycle.

The result

The practice now benefits from a fully managed patient records archive, with complete visibility of every file held in storage.

Through the Archive-Vault client portal, authorised staff can quickly locate and request patient records whenever required. Instead of searching through crowded storage rooms and filing cabinets, retrieving a file is now a simple and efficient process completed within a few clicks.

The detailed indexing and barcode tracking system also provides full audit trails, giving the practice confidence that every moment of every file is recorded and accounted for.

The administration areas are no longer cluttered with boxes of patient records, creating a calmer, more productive working environment for staff. The former archive space has been repurposed, allowing the practice to expand the team and services without the cost, disruption, time frames, or planning requirements associated with building extensions.

By moving patient records offsite, the practice has not only solved its storage challenges, but has also created the space needed to support future growth without compromising on the organisation and accuracy of the records relating to the practice.
