Construction Document Storage

Accessible throughout the construction lifecycle

Construction records evolve throughout the life of a project. Tenders, architectural drawings, planning applications, contracts, health and safety records and invoices all need to be retained in a way that protects their integrity while keeping them accessible to project teams.

Our construction document storage and scanning service is designed to streamline large document archives. We work with contractors, developers, consultants and specialist trades to store records securely offsite, creating space within site offices while ensuring documentation remains accessible, but safe.

Designed around active site environments

On working sites, space is a commodity. Paperwork often competes with equipment, materials and day to day operations. Over time, archived files can take up valuable room and become difficult to navigate, particularly when the projects overlap.

By transferring files to Archive-Vault, teams regain working space without losing access to critical information. Records can be requested through our secure online portal, with standard, next day or urgent retrieval available depending on your requirements.

Large format scanning for multi-site projects

It’s common for large projects to operate across multiple locations. Site managers, commercial teams and head office staff may all require access to the same set of records, but transporting files between locations is often impractical and time consuming.

Our large format scanning service supports collaboration across dispersed teams by scanning documents up to size A0. Using commercial grade equipment, we digitise blueprints, maps, architectural drawings and other oversized documents, producing high resolution files that can be shared securely. Where appropriate, documents can also be made searchable using OCR technology, improving usability and retrieval.

For records already held in storage, our Scan on Demand service provides a flexible alternative to physical retrieval. If a specific file is required, we can locate it within your archive and digitise it securely, supplying an electronic copy without the need to move the original from storage.

Managing oversized drawings and technical plans

Construction archives frequently include large format documents such as blueprints, site maps and technical drawings. These documents are difficult to store safely in standard filing systems and can be easily damaged if folded or stacked incorrectly.

We provide bespoke storage boxes specifically designed for oversized drawings, protecting documents up to A0 in size. This prevents folding, creasing and tears to ensure architectural plans, blueprints and site maps remain in their original condition for future reference.

Clear indexing for long term traceability

Construction records often need to be referred to years after completion for technical audits, extensions, property transactions or decommissioning.

We can index documentation by project name, site location, contract reference or phase, ensuring files can be identified long after teams have moved on. From planning applications to health and safety documentation, each file remains traceable from collection through to retrieval or destruction.

Security and compliance without compromise

Construction records often include commercially sensitive information and confidential contractual agreements. Archive-Vault is ISO accredited and audited by a UKAS accredited body, demonstrating our commitment to information security and industry standards.

Our fire and flood resistant facilities are monitored by internal and external CCTV, with controlled access granted to only authorised staff. sThis significantly reduces the risk of loss or damage to your archive. Secure vehicles and tracked collections maintain a documented chain of custody throughout storage and retrieval, supporting your obligations under GDPR and the Data Protection Act.

Supporting the full document lifecycle

Construction records often need to be retained for defined periods, whether due to contractual terms, warranty considerations or statutory requirements. Keeping track of those timelines is just as important as storing the documents themselves.

We can assign review dates at the point of storage, giving you clear visibility over when files are due to be reviewed. When a retention period comes to an end, you can choose to expand retention or securely destroy your records.

This ensures your archive remains controlled, up to date and fully documented throughout its lifecycle.

Bring clarity to your construction archive

Construction projects generate a wide mix of documentation, from early stage tenders and planning approvals through to drawings, contracts and health and safety records. Keeping that information organised and accessible can quickly become a challenge, particularly once projects complete and new ones begin.

Relocating inactive files offsite creates breathing room on site and in the office, while structured indexing and scanning make it easier to locate what you need. Your teams stay focused on delivering projects, not searching through archives.

If you’d like to explore construction document storage or discuss large format scanning in more detail, we’re always happy to talk through your requirements and recommend a practical approach that fits the way your organisation works.
